Sending Your Custom Tape to a Fulfillment Partner: The Handoff File

Send custom tape to a fulfillment partner with the configuration, artwork reference, carton details and packing instructions they need to review.

Your fulfillment partner can receive a carton of custom tape without knowing which orders should use it. Send the packing instruction before the rolls arrive.

The handoff needs to connect the artwork, tape configuration and order rules to the partner’s actual equipment.

Confirm that customer-supplied tape is accepted

Ask the partner whether it can use the proposed material and adhesive format. Provide the roll dimensions you have and identify dimensions that remain unconfirmed.

BrandTapeCo’s online widths are 48 mm and 60 mm, with a standard length of 50 m. Core size and finished roll diameter are not confirmed in the product record. If the partner needs those values, obtain them rather than estimating from a photograph.

Do not order a larger quantity before equipment and acceptance questions are resolved.

Build one handoff file

Include the approved artwork image, order reference, material and width, proposed carton applications and any exceptions.

The partner should also know whether the tape is the normal closure, campaign packaging or limited to a particular storefront. A logo alone may not communicate those rules.

Show an approved packed-carton example when available and explain what the photograph demonstrates. It should illustrate placement, not imply test certification.

Define what happens when a roll runs out

Ask how the partner will report low stock and what alternative, if any, it may use. Agree on the process rather than letting the packer choose an unreviewed substitute during a busy shift.

A low-stock alert needs a count or usage record and a contact at your business. “Running low” without quantity makes replenishment planning difficult.

Any packing or handling fee associated with customer-supplied materials depends on the partner’s agreement; do not assume it is included.

Arrange receipt and a first-use check

Confirm the receiving address and the reference the partner needs on the delivery. Ask them to acknowledge the quantity and configuration received.

Before routine use, request a check on the agreed carton and equipment. If something differs from the instruction, resolve it while the affected rolls remain identifiable.

Keep photographs and feedback attached to the same handoff record. Separate an artwork correction from a question about application so the right party can respond.

Maintain the file through reorders

A new artwork version, carton or tape material should trigger an update. Send the revised file and obtain acknowledgement instead of relying on a message that says “new tape coming.”

When old and new versions coexist, give the partner a clear transition rule. Identify who owns unused stock and how it should be handled if the relationship ends.

The supplier enquiry can then describe both the product requirement and the fulfillment destination, making the purchasing conversation reflect the way the tape will actually be used.

Frequently Asked Questions

Will any fulfillment center accept my tape?

Acceptance, equipment and commercial terms depend on the partner. Confirm before ordering.

What if the dispenser needs dimensions absent from the product page?

Ask the supplier for the actual proposed roll values. Do not infer core size or diameter.

Can the partner substitute tape when stock runs out?

Agree on a suitable exception process in advance. Do not leave the substitution decision implicit.
